SMS Manager: Managing SMS Replies in D4Web

The SMS Manager page holds all SMS replies from Appt reminders, Appt notifications, Patient records, Recalls & Queries. 

Where to find SMS Manager page

Click the navigation menu > Management > SMS Manager page

Managing SMS Replies...

Sent from Appt Reminders

  1. Click RETRIEVE SMS REPLIES
  2. Select Appt Reminders from the Inbox
    1. Remove Ticks individually from Appointment Books names you do not wish to include
    2. Tick Show Inactive box to include inactive books
    3. Click SELECT ALL to include all or DESELECT ALL to remove tick from all so you can select your own
  3. If using the Automatic Retrieve Option (see General Setting topic)
    1. View replies & Status on the right of page
    2. Double click or hover over the message to read the full Message Text
    3. Right click on the message to easily access the patients' file
    4. When actions have been completed, e.g. Patient has been contacted and nothing further to do, select the message and click MOVE TO ARCHIVE
  4. If using the Manual Retrieve option (see General Setting topic):
    1. View replies & Status on the right of page
    2. Click on Status button:
      1. CONFIRMED = to mark appt status as confirmed
      2. CANCELLED = to mark an appt status as cancelled
      3. CLEAR STATUS = to clear an existing status
    3. Once changes are made, click on UPDATE APPOINTMENT button
    4. Double click or hover over the message to read the full Message Text
    5. Right click on the message to easily access the patients' file
    6. When actions have been completed, e.g. Patient has been contacted and nothing further to do, select the message and click MOVE TO ARCHIVE
    7. The user may select (highlight) the appointment book name or click on SELECT ALL button to highlight all books

Sent from Patient Details page

When an SMS is sent directly from the Patient Details page and the patient replies, the reply can be found in SMS Manager page. 
  1. Click RETRIEVE SMS REPLIES
  2. Select Patient Records from the Inbox 
  3. View replies on the right of page
    1. Double click or hover over the message to read the full Message Text
    2. Right click on the message to easily access the patients file
  4. When actions have been completed, e.g. Patient has been contacted and nothing further to do:
    1. Select the message and click MOVE TO ARCHIVE

Sent from Recalls



When an SMS is sent from Recalls and the patient replies, the reply can be found in SMS Manager. 
  1. Click RETRIEVE SMS REPLIES
  2. Select Recalls from the Inbox
    1. View replies on the right of page
    2. Right click on the message to easily access the patients' file
    3. When actions have been completed, e.g. Patient has been contacted and nothing further to do, select the message and click MOVE TO ARCHIVE

Sent from Queries




When an SMS is sent from Queries and the patient replies, the reply can be found in SMS Manager. 
  1. Click RETRIEVE SMS REPLIES
  2. Select Queries from the Inbox
    1. View replies on the right of page
    2. Double click or hover over the message to read the full Message Text
    3. Right click on the message to easily access the patients' file
    4. When actions have been completed, e.g. Patient has been contacted and nothing further to do, select the message and click
      MOVE TO ARCHIVE

Go To > Patient pages

When in the SMS Manager page, you are able to right click on any row and Go To any of the Patient pages for the selected patient
