Task Manager: My Tasks & Notifications in Dental4Web

Tasks & Notifications can be accessed directly from the Task Manager page or from the toolbar on any page in Dental4Web.

Task Manager: My Tasks

Alert
Task Manager features require Security permissions. Do you have permission set to add new tasks? 
See Task Manager Setup article for security setup / or ask your practice admin for access
  1. Click the navigation menu > Task Manager > My Tasks page

Add a New Task

To Add a New Task: 
  1. Click + Add
    1. Action: Name of task e.g. End of day totals 
    2. Description: Further instructions or details of the task
    3. Assignee: Select either individual user or a team
    4. Due Date: Select date task is due
    5. Due Time: Select time task is due
    6. Event schedule: Select if task is a One-time event or if recurring, how often e.g. working days
    7. Tags: 
      Select from the list available tags
    8. Attachments: Upload file (document or image) > select file > Open 
    9. Collection: Select a collection for task to be added to / which collection group the tasks belongs to
    10. Priority: Select priority of task.
      1. Low: Not time-sensitive
      2. Medium: Standard day to day tasks 
      3. High: Important task that need attention
      4. Urgent: Immediate action required
    11. Status: New tasks will have Created status by default unless changed manually. Options available are:
      1. Created: New, not yet started
      2. In Progress: Actively being worked on
      3. Paused: Temporarily on hold
      4. Declined: Can not be completed or has been rejected
      5. Completed: The task is finished
    12. Add Reminder: Select when reminder is to be sent to Assignee before task due date. Multiple reminders can be selected
    13. Watchers: Include names of anyone whom may be required to watch or receive updates about the task
    14. Click Save
  2. A list of Tasks are visible in the My Tasks page

Idea
You do not need to fill in every field.

Edit a Task 

  1. Click the 3 dots to view the available options:
    1. View Details: Opens the Task dialogue for editing.
    2. Mark as Complete: Will automatically update the Status to completed and strike through the Task
    3. Duplicate: Select duplicate if a new task is required and may be very similar to the current one. Modifications to the individual task can be made via the "View Details" option 
    4. Move to Collection: If the task was not allocated to a collection at the time of creation, it can be done so now.
    5. Delete: Delete the Task

History, Attachments, Comments Tabs 

Within the Task Details dialogue window, the user can:
  1. View the History of this task 
  2. Upload files and View any Attachments (maximum 50 MB per file)
  3. View or add Comments (visible to anyone with access to the task) 

Filtering & Searching

Searching by Task Name

Use the Search bar in the My Tasks toolbar to find tasks by name. The grid filters in real time as you type.


Idea
You do not need to press Enter key.
For a broader search across all tasks (not just yours), go to Collections page > All Tasks > Search.

Filtering Columns

Each column in the task grid has a filter icon in the header.
  1. Click the filter icon  on any column to narrow down the tasks shown
  2. Click on the column separator  and drag left or right to minimise or extend the width
  3. Click Reset Filters to reset back to default

  1. Click My Tasks Icon  in the toolbar
  2. Create task
  3. Follow the same steps as above.

Notifications Icon

Notifications alert you when something important happens to a task that involves you.
The Notifications icon can be found on the toolbar on any page in Dental4Web and viewing, updating tasks is possible directly from this icon.
Idea
When Will I Get a Notification?
• A task is created and you are assigned to it or listed as a watcher.
• A task you are watching has been updated (e.g., status or due date changed).
• A task assigned to you becomes overdue.
• A task you are involved in has been deleted.
  1. Click the bell icon  in the top-right toolbar.
    1. The panel slides open and shows your recent notifications
    2. If any upcoming notifications, the icon is marked with number

  2. The Notification panel will show all notifications. Each task includes
    1. What changed
    2. Who made the change
    3. Task name with ability to link to the task details 
    4. The task collection
    5. The due date
  3. Marking Notifications as Read
    1. Click the X on an individual notification to dismiss it
    2. Click Mark all as read at the top of the panel to dismiss all notifications at once
