Home 

The Home dashboard is the default page once user has logged into Pulse.
The Welcome section and Quick Access links remain unchanged when filters are applied, and some fixed practice KPI tiles may also continue to display account-level data.

  1. Confirm the Home title & greeting context
  2. Check the headline tiles for any obvious operational issue - use filters for Client ID or Location
  3. Select the Quick Access dashboards for the next task
  4. Use the Dashboards menu for any standalone production dashboard

Actionable Dashboard

Actionable turns defined business rules into patient or financial follow-up lists. The current dashboard has six tabs. Each tab pairs a headline count or value with a detail table. There is no general date filter because each worklist uses its own rule for what is currently actionable.

RULE-BASED LISTS: An Actionable row means the record meets the dashboard rule. It does not prove that contact is appropriate in every case. Review patient preferences, alerts, clinical context, debt arrangements and recent source-system activity before contacting the patient.

Overdue for Periodic Check-up Tab

This tab lists active patients whose recorded periodic-check information meets the overdue rule, including patients with no qualifying record where the rule treats that as overdue. Use it as a recall starting point. 
  1. Confirm Location and Provider scope
  2. Review the count card to understand worklist size
  3. Sort or scan the detail table using contact and recall context
  4. Open the patient record before contacting the patient or changing a recall setting

Accepted Treatment Plans with no Appointment Booked Tab

This tab identifies accepted treatment plans for which no qualifying future appointment is booked. It represents patient intent that has not yet converted into a scheduled visit. 
  1. Confirm that the plan remains active and accepted in the source record
  2. Check whether an appointment exists under another provider, location or appointment type that the rule may not recognise
  3. Contact the patient using the recorded communication preference and approved practice process
  4. Book or update the appointment in the source system, not in the dashboard

Patients Booked with FTA History Tab

This tab shows upcoming booked patients with a history of failed attendance. Use it to prioritise confirmation and preparation, not to assume the patient will fail to attend again. 
  1. Prioritise appointments by date, FTA count and confirmation status
  2. Review notes, communication preferences and any existing attendance arrangement
  3. Use respectful, neutral communication. FTA history is operational context, not a judgement about the patient

Active Patients Who Do Not Have a Future Appointment Tab

This tab lists patients classified as active who have no qualifying future appointment. It is the broadest recall and reactivation worklist and can be large. The active-patient classification follows the current Pulse/source rule, which has historically used recent attendance within an 18-month window. 
Notes
THRESHOLD CAUTION: Treat the displayed worklist as authoritative for the current platform rule. Business thresholds can change, so do not manually reproduce the list from an old written threshold without validating the current definition. 
  1. Narrow by location and provider before allocating work
  2. Prioritise using recall due information, last treatment context and patient communication preferences
  3. Remove inappropriate contacts through the source-system status or normal practice process rather than simply ignoring the dashboard row

Outstanding Debt Tab

This tab lists patients with an outstanding balance. Use it for patient-level follow-up after reviewing the broader debt position in Insights. 
  1. Check the current source ledger before making contact because payments, credits or arrangements may have changed since the last sync. 
  2. Review debt age, amount, bad-debt classification and any payment arrangement
  3. Follow the practice's authorised collections and hardship process
  4. Do not include clinical or unrelated patient information in an exported debt worklist

FTAs and Cancelled Appointments Without Rebooking Tab

This tab identifies recent failed-to-attend or cancelled appointments that have not been followed by a qualifying rebooking. It is a recovery and retention worklist. 
  1. Check that no future booking exists elsewhere in the patient record
  2. Confirm the missed or cancelled status is correct
  3. Contact the patient using the appropriate practice workflow 
  4. Create the booking in the source system and allow the next sync to remove the record from the list

Standard Actionable workflow Tab

  1. Choose one tab and one operational objective. 
  2. Set Client ID, Location and Provider context before reading the count. 
  3. Use the count or value to size the work, then move to the detail table. 
  4. Review each source patient or ledger record before contact. 
  5. Complete the action in the source system or approved communication tool. 
  6. Use the Pulse workflow status where available and refresh after the next data sync to confirm the record leaves the list when expected.

Huddle Dashboards

The three Huddle dashboards support a continuous operating cycle: review the previous day, manage the current day and prepare the next day. They are intentionally task-oriented and should be refreshed before a live team huddle.

Use Huddle Yesterday at the start of the day to review production, attendance and whether patients left without a future appointment. The dashboard has seven live chart areas.

Insights Summary Dashboards

Insights Summary provides a compact view of seven core performance measures.
The (Over Time) dashboard shows movement and comparison across a period. The (by Provider) dashboard shows how the same operating areas differ across providers.
Both dashboards are organised into five category tabs:
Production: Net production; hourly net production. How much net value is being produced, and how efficiently relative to hours?
Appointments: Completed appointments; completed appointments per hour. How much completed appointment activity is being delivered, and at what throughput?
Patients: New patients. How many new patients are entering the practice or provider workload? 
Treatment Plans: Treatment plan value. What is the value of treatment plans represented in the selected period?
Rebooking: Rebooking rate. How consistently are completed appointments followed by a same-day future booking?

Insights Summary (Over Time)

Use (Over Time) when the main question is direction: improving, declining, volatile or stable. Its current default date is Last month

Appointments combines completed volume, failed attendance, cancellations, rebooking and hourly throughput. Use the tab to understand whether schedule activity converts into completed care and future bookings.

Insights - Production & Treatment (Net Production)

The Net Production dashboard reconciles production from gross value through deductions to net value, then compares the result with target and the prior year. Its current default date is a rolling range from one month ago to now, not necessarily the current calendar month

Insights - Production & Treatment (Net Production per Hour)

This dashboard compares production with the hours available or worked in the Pulse calculation. It is useful for provider and capacity analysis because it separates total output from output density. Its current date default is Current month.

Net Production per Hour vs Appointments per Hour: Dollar output per hour beside completed appointment throughput. 
Identify whether performance is driven by higher-value care, higher visit volume or both. 
Notes
FAIR INTERPRETATION: A higher hourly value is not automatically better clinical or operational performance. Appointment mix, provider role, treatment complexity, cancellations, available hours and incomplete time data can materially change the result.

  2. Review total utilisation and utilisation by appointment book
  3. Prioritise unconfirmed appointments and patients with FTA history
  4. Prepare new-patient requirements, incomplete treatment context and relevant source-record alerts
  5. Assign or record Pulse Actions statuses where available
  6. Update bookings and patient records in the source system. 

Weekly Performance Review - 30 minutes

  1. Use Insights Summary (Over Time) to find material movement in production, patients, treatment plans, rebooking or appointments
  2. Use Insights Summary (by Provider) to see whether the movement is broad or concentrated
  3. Open the relevant Insights tab for a deeper breakdown
  4. Agree one or two questions for source-record validation rather than acting on a chart alone
  5. Record the period and filters used so the analysis can be repeated
