Setup to use NSW health voucher which includes setting up a third party, setup a payment type and create a fee.
Setup to Use NSW Health Voucher
A Third Party and a payment method need to be setup in Dental4Windows to correctly record payment details for a patient using the NSW Health Voucher. Setup Third Party
- Go to Patient Records > Patients tab
- Find/View menu > Third Parties list
- Click Add New
- Enter Name and contact details

- Click OK
Setup Payment Type
- Go to Location Setup > System Tables > System Tables: Methods of Payment
- Click Add
- Enter details

Create Fee Level
- Go to Location Management > Fees tab
Payment for NSW Health Voucher Patients
This articles shows how to setup in Patient's file and process payment for NSW Health Voucher (see below section) holders.
Setup Invoice Responsible Party
- Go to Patient Records > Patients tab > Address sub-tab
- Send Invoices to:
- Select Third Party
- Select Oral health Fee For Service Scheme from Now viewing droplist
- Click OK

Setup Fee Level for Patient
- Go to Patient Records > Patients tab > Insurance/Various sub-tab
- Select Oral Health Fee for Service Scheme (NSW) in Location Fee Level droplist

Create Invoice
- Go to Patient Records > Treatment tab
- Enter treatment items or transfer items from Treatment Plan tab
- Go to Itemised Invoices > New Invoice Only
- Make sure the Main Responsible Party is Third Party > Oral Health Fee For Service Scheme
- Click Create
Create Receipt
Once the voucher has been processed and OHFFSS has paid for the patient's treatment (via direct payment into the provider's nominated bank account), the payment information needs to be entered into Dental4Windows.
- Go to Patient Records > Receipts tab
- Receipts menu > New Receipt
- Select Third Party > Oral Health Fee For Service Scheme from Payment from droplist
- Enter paid amount
- Select OHFFSS in Payment Type
- Click Create or Print

NSW Health Voucher
The Oral Health Fee for Service Scheme (OHFFSS) is an alternative way of providing dental care used by the Public Dental Service in New South Wales (NSW).
This Scheme provides dental care through a private practitioner (e.g. Dentists, Dental Prosthesis’s and Oral Health Practitioner).
The type of dental care that can be provided includes emergency, general dental care and dentures.
Eligible Patients
- All children (under 18 years of age) who are NSW residents
- Adult NSW residents who are current holders of one of the following Centrelink concession cards:
- Health Care Card
- Pensioner Concession Card
- Commonwealth Seniors Health Card
Process of Use
- Eligible patients are sent a Government voucher with a list of dentists registered to the scheme.
- Patient makes an appointment with one of the registered providers
- All treatment must be completed by the expiry date of the voucher
- The surgery retains the voucher until Treatment is completed.
- Once the treatment is completed the patient is to sign the voucher and leave it with the dentist for processing.
- The voucher is then filled in by the surgery with relevant item numbers and fees and sent to the Local Area Health Service where it is processed.
- The surgery is then sent a payment via direct deposit from the Local Area Health Service for payment of the treatment.
