Listed below is how to setup the eServcies portal, iFrame behavioral and edit email notifications. 

Setup the eService Portal

The following steps are recommended completing before using the eService Portal. The eServices Portal currently hosts eAppointments and eForms, however only the service the practice is subscribed to will be visible.

Login to eServices Portal as Admin

  1. Open the eServices URL in an Internet Browser
  2. Select Sign In
  3. Enter the Administration login details (created when setup)
  4. Select Sign In
                                           

Allow Practice Staff Access to eServices Portal

Rather than have one shared login to the Admin area of eServices, additional practice employees can be added. 

  1. Login to the eServices Portal as an Administrator
  2. Go to Menu Practice Management
  3. Select Locations Management    
                                                                  
  4. Click Assign User Roles
    1. Organisation: Select the Company
    2. Surgery Name: Select the Practice/Location 
    3. Users: Click Add             
      1. Fill in the details of the employee
      2. Select the appropriate role
      3. Click Save

  1. Login to the eServices Portal as an Administrator
  2. Go to Menu  > Practice Management
  3. Go to Administration
    1. Click Change Logo
      1. Select the Practice
        1. Find the Logo > Click Open                                     
        2. Click Close when the image is against the Practice   
                            

Setup eService Notifications

  1. Login to the eServices Portal as an Administrator
  2. Go to Menu  > Practice Management
  3. Go to Administration
    1. Click Notifications
      1. Click Notification Options
        1. Notifications: Tick the instances when a notification e-mail should be sent
        2. Recipient(s): Enter the e-mail(s) of those at the practice who should be notified
        3. Importance: Select from High, Normal and Low         
        4. Click OK    
                                              

Add Provider Information

Within the eServices portal
  1. Go to Menu  > Practice Management
  2. Select eAppointments Management
  3. Select Provider Profile
    1. Surgery name - select the practice from the drop list
    2. Provider - select the provider from the drop list 
    3. Upload - the ability to upload a photo of the provider
    4. Languages - enter any languages that the provider speaks
    5. Overview - write a bio about the provider - max 1500 characters
    6. Idea
      Examples of 2 bios

    7. Qualifications - list the qualifications of the provider - max 1500 characters
    8. Click Save

ePayment Settings & Terms of Service

With eAppointments, a deposit can be collected at the time of booking an online appointment. The practice can specify which providers and reasons require a deposit. Available from Build 5750 for Dental4Window users. Dental4Web coming soon

Before setting up deposits, the following configurations must be completed

  1. Within the eServices portal
  2. Go to Menu > Practice Management   
                                                                                               
  3. Select eAppointments Management
  4. Select Display Options

  5. Tick Selection of Reason is mandatory
  6. If Use easy booking mode is selected, then untick

  7.  ePayments Terms of Service
    1. Select the Default Text

    2. To customise the Service text according to your requirements, select Custom text and then make the necessary changes or additions

    3. The provider reasons must be set up for each provider 

Setup Reasons

Setup the Appointment Reasons for patients to select when scheduling their eAppointments. This helps filter the list of available appointments and notify the practice of the main reason for the booking.


  1. Within the eServices portal
  2. Go to Menu > Practice Management
  3. Select eAppointments Management
  4. Press Appointment Reasons List 
Idea
Before adding a new reason check that the reason is not already available.
    1. Enter the reason in the Search bar 
    2. A list of reasons that match the search reason will be displayed

Add Reason

  1. Select Add
    1. Enter the Reason Name
    2. Tick box to Link reason to organisation
    3. Click Add
A prompt will appear confirming the new reason has been added successfully

Delete a Reason

The reason can only be deleted if the reason has not been used.
  1. Select the reason
  2. Select delete
  3. A prompt will appear to ensure if you want to proceed with the deletion
    1. Click Yes or No
       
A prompt will appear confirming the reason has been deleted successfully.
Notes
Note: If the reason cannot be deleted a window will appear stating the reason.

Edit a Reason

A reason can only be edited if it is not associated with a Provider book
  1. Select the reason
    1. Select Edit
    2. Make changes to the reason
    3. Click OK

Configure Deposit for Reasons & Providers

Alert
The provider reasons must be set up before proceeding with the deposit allocation.
Individual deposit amounts can be added to eAppointment reasons or one amount to cover all eAppointment reasons.
With eAppointments, a deposit can be collected at the time of booking an online appointment.
The practice can specify which providers and reasons require a deposit. Available from Build 5750.
  1. Within the eServices portal
  2. Go to Menu > Practice Management 
                                                                                                  
  3. Select eAppointments Management
  4. Select Deposit Settings

  5. Select Surgery Name 
                                                                          
The Same Deposit Amount for All Reasons
  1. At Set deposit for all reasons enter the required amount. This applies the amount to all reasons 
        
  2. Click Save
A Different Deposit Amount for Each Reason

At Reasons with deposit, you can select specific reasons to require a deposit when making a booking. Each reason can have a different deposit amount associated with it.

  1. Use Search for fine the particular reason
  2. Tick the reason and enter the required amount 
                                         
  3. Click Save

Providers Requiring a Deposit

You can choose to require a deposit for online bookings for all providers or select specific providers to request a deposit.
For All Providers
  1. At Providers with Deposit, select Select All       
                                                          
For Selected Providers
  1. At Providers with Deposit, tick the particular providers

iFrame Behaviour

The iFrame behaviour has been redesigned to enable it to work with the browsers with prevent cross-site tracking feature.

Booking process

  1. At the booking page, when the patient selects a time slot, creates an account or signs in, this message will appear

  2. Selecting Yes, the booking page will open in a new tab
  3. To redirect the patient back to the client webpage after the booking is completed, this needs to be set up in the eService Portal

Redirect Patient back to Webpage

  1. Go to eService Portal> My Cabinet
  2. Select Practice Management > eAppointments> Display Options
  3. At, After booking confirm redirect, enter the URL for the webpage

eServices: Edit Email Notifications

The practice can edit the email notification templates for:
  1. New User registered
  2. Appointment requested
  3. Appointment declined
  4. eForm submitted
  5. Patient created by admin user
  1. Within the eServices portal
  2. Select 
  3. Select Practice Management
  4. Select Locations Management
  5. Select Notifications
  6. Select Edit Email Templates
  7. At Template name select the template to be edited from the drop list

  8. At Template, edit the template  
                                                                      

Variables (pre-filled data) can be added to the template.

  1. Click on the section in the template to specify where the variable will be displayed
  2. Click the variable from the list, and it will be placed in the selected area 

  3. Click Save
