Email Setup in Dental4Windows

Microsoft is removing support for apps and services that access 365 mailboxes using passwords as authorisation, and now requires authorisation through OAuth (Open Authoristation) .
Setting up OAuth email configuration enables email to be setup without having to use email password. This is standard practice, that authorises apps or services to access another without having to share private information like passwords.
To meet this requirement Dental4Windows supports OAuth for E-mail Configuration. 

OAuth Email Setup 

To Setup OAuth (Open Authorisation) Email:

  1. Go to Location Setup > General tab
  2. Group: Communication Settings
    1. E-mail sending service for Multiple Messages, select Internal D4W mail service
    2. E-mail sending service for Single Messages, select Internal D4W mail service
  3. In the Record drop down menu click OAuth for E-mail Configuration
    1. Click Modify
      1. Provider: Select email provider from drop down list e.g. Office 365
      2. Email Address: Enter in e-mail address to be used
      3. Last Sync: The date of the most recent authorisation 
    2. Click Authenticate

    3. Sign into email in external bowser page, confirmation will show, close browser page
    4. In Dental4Windows click OK 

Pre-requisites of Setting up E-mail in D4W

D4W gives users the ability to send emails from the software to patients, however, there are some pre-requisites required before it can be setup.
  1. Have an internet connection.
  2. Know your SMTP (Simple Mail Transfer Protocol) address.
  3. Know your SMTP Port.
  4. Know whether this SMTP requires SSL (Secure Socket Layer) encryption.
  5. Have a valid email address for this SMTP.
  6. Know the password for this email address
Setup Prerequisites 2 - 6
  1. Location Setup > General tab
  2. Group: Communication settings
    1. Refer to items 2 - 6 above for what needs to be set 

Setup to E-mail from a Patient File

The ability to e-mail direct from a patients' file exists, in all areas of Patients Records where printing is available. 
  1. Use E-mail for Single Messages = Yes
  2. E-mail sending service for Single Message = Select appropriate
  3. Internal D4W Mail Service: This selection allows user to insert a message before sending e-mail. It does not have an Outbox, so sent e-mails cannot be tracked.
  4. Add E-mail Service (with support SSL): This selection requires setup by Centaur support or your IT technician, with specific email details.
  5. Windows E-mail client (MAPI): This selection is used if user prefers the e-mail to go to the Outlook outbox before sending. It does not allow for a message to be written beforehand, but once sent will be shown in Outlook’s Sent box. This selection requires the following additional setup, also in General Settings > Group: Communication Settings
  6. Enter E-mail account name on  computer (MAPI)
