General Settings for Group "Paths & Links" in Dental4Windows

Where to find the General Setting

Go to Location Setup > General tab > Group: Paths & Links

Settings

Automatically Run dental4windows (Scheduled Reports)

Scheduled Reports can be set to run when the surgery is not open. For example, outside business hours or Sundays.

If security is turned on to ‘Start/Access to D4W’, you will need to allow the ‘Report Scheduler’ access to open Dental4Windows. Within the Schedule Reports window, you can select the user to open Dental4Windows.

The database engine must be running for this feature to work.

  1. Automatically run dental4windows (Scheduled Reports)
    1. Enable = Dental4Windows will automatically launch on the server at the scheduled time of the report and will close when the report has been run.
  2.  Go to Location Management > Reports tab 
  3. Operations menu > Schedule Reports
    1. Select the 'User' from the drop list   

Document Manager: Create folder for patient automatically

When accessing Document Manager for the first time, a folder is created.

This can be disabled, so a folder can be created manually.

  1. Document Manager: Create folder for patient automatically
    1. Yes: The folder will be created (default setting, recommended)
    2. No: The folder will need to be created manually

Set Barcode Preferences - Unique Numbers and Overwrite Codes

The following settings relate to sterilisation tracking barcode scanners. 
  1. Sterilisation Module, allow non-unique barcodes input                                             
    1. Yes: The system will allow the same barcode to be printed/used multiple times            
    2. No: The system will only allow the one number to be printed/used once                         
  2. Status of Barcode Initial                                                                                                 
    1. Read Only: The user is unable to change the initial barcode number before printing labels
    2. Editable: The user is able to change the initial barcode number before printing labels
    3. Initial Bar Code Number: Enter the number to start barcodes from, often used to overwrite test numbers 

Set Manual Recalls, Debtors, Queries and Letters E-mail Send Method

If using the manual recall, debtors and/or queries tab, the e-mail send method should be selected. The Letters tab of Patient Records also follows this setting. 
  1. Send LETTERS/RECALLS via e-mail as
    1. File attached: The letter is sent as a file attached to the e-mail (default setting, not recommended)
    2. Text only: The letter will be sent as plain text. Images and font formatting is ignored (not recommended)
    3. HTML format: The letter will be sent in the body of the e-mail (recommended)

Set Printer for Prescriptions

InfoWhen printing Computerised Prescriptions, a designated printer can be set up.

Notes
Consult your IT Technician for assistance with installing printers. 
  1. Printer for Prescriptions
    1. Click  to select the required printer
 Repeat this procedure on each computer as required.

Set the Scanner for Sterilisation Module

For a scanner to correctly work with Dental4Windows, it must be selected within the General Settings. 

  1. Bar Scanner: Select from the list

Sync with HICAPS terminal

When launching Dental4Windows the Hicaps terminal can be synchronised to check for new providers and insurance company information.
  1. Sync with HICAPS terminal
    1. Yes: The Hicaps terminal is synchronised  when D4W is launched
If new Providers and/or Insurance Funds are found on the Hicaps Terminal, click Yes to resolve.

Click Add Link to synchronise the Provider and/or Insurance Fund.

There is the option to print HICAPS claims to the terminal or a nominated printer. 
  1. Print HicapsConnect Receipts (Claim, Quote, Cancel) from Terminal
    1. Yes: Prints via the terminal
    2. No: Prints via printer
When processing a Hicaps claim, the receipt can be printed from the Hicaps Terminal or from the installed printer.
Consult your IT Technician for assistance with installing printers. 
  1. Print Hicaps Connect Receipts (Claim, Quote, Cancel) from terminal
    1. Yes: The receipt will print from the Hicaps Terminal
    2. No: The receipt will print from the installed Printer
Repeat this on each computer.

Set Patient Records E-mail Method - PDF or HTML

All tabs within Patient records, excluding the Letters tab will send via the method selected below. 
  1. E-mail Attachment Method = Select preferred method
    1. HTML: Default
    2. PDF: Only available on 32-bit operating systems and requires a PDF Creator to be installed

Use Medicare Easyclaim

InfoTo process Medicare claims from Dental4Windows/Practice Studio, Easyclaim must be activated as well as Set Multiple Insurance Environment. Note that this setting is usually controlled by Centaur Support when activating the Medicare Bulk Bill Integrated Report, do not change this setting. 
  1. Use Medicare Easyclaim: Yes
  2. Next ensure the database is set to handle multiple insurances (link above)
