General Settings for group "SMS Settings" in Dental4Windows

Settings

Auto-Update appointment status

When a patient replies to an Appointment Reminder SMS, the appointment can be updated as Confirmed or Cancelled based on the patient's reply.
  1. Auto-Update appointment status
    1. Yes: The appointment is updated (default setting)

Display Reply received notification

When a patient replies to an Appointment Reminder SMS, an icon is displayed in the appointment.
InfoThis feature is only available to those set up with SMS capabilities. Pre-requisites for Setting up SMS in D4W/PSS

  1. Display Reply received notification
    1. Yes: The icon appears when a patient replies to the SMS (default setting)

Ignore 160 character message limit

When creating/modifying a Manual Appointment Reminder SMS template, if the number of characters exceeds 160 characters the template will not be able to be saved.

A general setting has been created to allow this.

  1. Ignore 160 character message limit
    1. No: If the number of characters exceeds 160 characters a warning will appear and the template will not be able to be saved (default setting).
    2. Yes: The template will be able to be saved and the number of messages will be displayed
AlertIf an SMS is sent and exceeds the 160 character limit, it will be billed as two (or more) messages.

No Response for Appointment Reminders

When a patient replies N or No to an Appointment Reminder SMS, the appointment is updated with the Z status. 

If patients reply with any other text, e.g. No sorry, the appointment will not be updated.

Common replies can be added to be recognised as No when an SMS reply is received in Dental4Windows.

  1. No Response for Appointment Reminders
    1. Click Add
    2. Enter the text required
    3. Repeat as necessary
  2. Click Exit when finished

Move Replies to Archive after Auto-Updating appointment status

InfoThis setting allows users to choose whether Dental4Windows moves replies to Archive within SMS Manager after an auto-update of the appointment status has occurred.

This setting will work when Auto-Update appointment status (see below section) setting is set to Yes.

  1. Move Replies to Archive after Auto-Updating appointment status
    1. For Yes and No replies: The reply is moved to Archive if the appointment is updated as Y or Z (default setting, recommended)
    2. For Yes replies only: The reply is moved to Archive if the appointment is updated as Y
    3. For No replies only: The reply is moved to Archive if the appointment is updated as Z
    4. Don't move to Archive: No replies are moved to Archive

Send Automated SMS on Patient Registration

The below instructions explain how to setup an automated SMS sent to the patient when they have been entered for the first time through the Appointment Book. 
  1. Send SMS on Patient Registration: Yes

Send SMS Recalls

This setting allows users to choose whether to send Recalls and Queries by SMS.
  1. Send SMS Recalls
    1. Yes: Recalls and Queries can be sent by SMS (default setting, recommended)

Set the SMS Threshold for Automated Batches

Info
To control the number of SMS allowed to be sent from a batch, set an SMS Threshold. 
Only users with security permission can set/edit the SMS: Run Batch above Threshold and SMS: Adjust Threshold. 
  1. Enter the number in SMS Batch Threshold   

SMS Reply Retrieval Method

InfoThis setting allows users to choose whether SMS replies are automatically retrieved, or manually by the user with SMS Manager.
  1. Retrieval Method
    1. Automatically: SMS replies are automatically retrieved (default setting, recommended)
    2. Manually: Replies need to be retrieved within SMS Manager
  2. Go to Location Management > SMS Manager tab
  3. Click Retrieve SMS Replies

Yes Response for Appointment Reminders

When a patient replies Y or Yes to an Appointment Reminder SMS, the appointment is updated with the Y status. 

If patients reply with any other text, e.g. Yes Thank You, the appointment will not be updated.

Common replies can be added to be recognised as Yes when an SMS reply is received in Dental4Windows.

  1. Yes Response for Appointment Reminders
    1. Click Add
    2. Enter the text required
    3. Repeat as necessary
  2. Click Exit when finished
