Practice Analytics is launched from Dental4Windows and is an analytics tool which shows data on treatment plan items, treatment plans, invoiced production, appointment cancellations, new patients from first seen date and what if.
Practice Analytics: Launching Practice Analytics from Dental4Windows
Practice Analytics can be launched three ways from Dental4Windows.
- From the main Control Panel click PracticeAnalytics

- Go to Go To menu > Run PracticeAnalytics
- Within any module in D4W, click the Practice Analytics icon

Practice Analytics: Treatment Plans Dashboard
The Treatment Plans dashboard has multiple sub-tabs showing a range of data. The user can filter the data based on their preferences.
Viewing the Dashboard
- Click Treatment Plans Dashboard

- Enter filters preferences

- Period: Select the period to base this dashboard on
- Location: Select the location or <All> to base this dashboard on, if applicable
- Provider: Select the Provider(s) or <All> to include in the dashboard
- Active: Tick to show only Active providers
- Click Apply
Treatment Plans
The Treatment Plans sub-tab displays data in graph format, showing the number and value of Treatment Plans for the selected filter period.

All Presented: The number of Treatment Plans created during the selected period.
Rejected: The number of Treatment Plans rejected during the selected period.
Accepted: The number of Treatment Plans accepted during the selected period.
Incomplete Treatment Plans
The Incomplete Treatment Plans sub-tab displays data in graph format, showing the percentage of payments for the selected filter period.

Active: Amount and percentage of active Treatment Plans
Inactive: Amount and percentage of inactive Treatment Plans
Practice Analytics: Invoiced Production Dashboard

TOP Invoiced Production
The TOP Invoiced Production sub-tab displays data in pie and graph format, showing the number of appointments versus cancellations for the selected filter period.

Gross Production: The value of Items entered into Treatment during the selected period.
Discounts: The total value of Discounts applied during the selected period.
Refunds: The total value of Refunds applied during the selected period.
Net Production: The total value of Invoices created during the selected period less Discounts and Refunds.
Total Payments: The total value of Receipts created during the selected period.
Total Cash: The total value of Cash Receipts created during the selected period.
Payment Statistics
The Payment Statistics sub-tab displays data in graph format, showing the percentage of payments for the selected filter period.

% Cash Payments: % of receipts with Cash payment method.
% Unpaid: % invoices unpaid. Negative means Receipts are higher than Invoices.
% Discount: % discounts.
Payments by: Payments by MRP – Patients, Third Parties, Insurance.
Practice Analytics: New Patients Dashboard
The New Patients dashboard has multiple sub-tabs showing a range of data. The user can filter the data based on their preferences.
Viewing the Dashboard
- Click New Patients Dashboard

- Enter filters preferences

- Period: Select the period to base this dashboard on
- Location: Select the location or <All> to base this dashboard on, if applicable
- Provider: Select the Provider(s) or <All> to include in the dashboard
- Active: Tick to show only Active providers
- Click Apply
New Patients
The New Patients sub-tab displays data in a line diagram format, showing the number of new patients for the selected filter period.

Total: The total sum of new patients treated that meet the filter settings
# With Treatment Plan: A count of the new patients from the Total with treatment plans on their first visit
$ With Treatment Plan: The sum (in dollar value) of the treatment plans created for new patients (as per filter settings) during their first visit
Subsequent Appointments: A count of the new patients from the Total who has at least one appointment after the first treatment date
Referral Statistics
The Referral Statistics sub-tab displays data in a pie chart format, showing the referral sources for new patients for the selected filter period.
New Patient by Referral: Shows the number of new patients split by ‘defined’ and ‘not defined’. Data showing ‘not defined’ will only appear if new patients exist without a referral selected
Defined Referrals: Shows the number of patient referrals broken down by each referral type
The Items Performed sub-tab displays data in a column chart format, showing the top 5 items performed for new patients for the selected filter period.
Top 5 Items Performed on New Patients: Shows the top 5 items that were performed on new patients within the filter settings
$ Top 5 Items Performed on New Patients: Shows the amount earnt from the top 5 items performed on new patients within the filter settings
Age Demographic
The Age Demographic sub-tab displays data in a stacked area diagram, showing the number of new patients by their age.
Practice Analytics: View Patient Fees from First Seen Date
A table can be created in the Items KPI report in Practice Analytics to show the fees applied to a patients file since their First Seen Date.
Run the Report
- Click Items under the KPI menu

- Remove current headings if not applicable by dragging and dropping to the heading list.
- To build this KPI table, click and drag the below headings:
Fee: The fee per item from the treatment tab. If the Qty is more than 1, the fee will be multiplied with the total found in the Amount column.
First Seen Date: The date of the first item entered in the Treatment, excluding items marked as Non-Treatment
Px Card No: The card number of the Patient
Tx date: The date of the item (treatment) from the treatment tab.
Filter data
Data can be filtered anywhere this icon
is found. When a filter has been applied to a heading, the filter icon will turn to blue.
- Click on the filter icon and select the dates you want to show
- Click OK

# Cancellations
The # Cancellations sub-tab displays data in pie and graph format, showing the number of appointments versus cancellations for the selected filter period.

Total Appointments: The count of appointments that exist in the Cancellation List as well as the Appointment Book for the selected period.Total Cancellations: The count of appointments that exist in the Cancellation List as well as appointments in the book that do not exist in the Cancellation List but have an FTA / UTA status for the selected period.
FTA: The number of appointments that exist in the Cancellation List and the Appointment Book with an FTA status/reason for the selected period. Any appointments that are in both the Appointment Book and the Cancellation list will only be included once.
UTA: The number of appointments that exist in the Cancellation List and the Appointment Book with an UTA status/reason for the selected period. Any appointments that are in both the Appointment Book and the Cancellation list will only be included once.
Other: The number of appointments that exist in the Cancellation List with the reason being anything other than FTA or UTA for the selected period.
% Cancellations
The % Cancellations sub-tab displays data in graph format, showing the percentage of cancellations for the selected filter period.

Cancellation Reasons
The Cancellation Reasons sub-tab displays data in graph format, showing the number of cancellations by reason for the selected filter period.
Practice Analytics: What If
What If can be used to calculate an estimate of adjusted income if Item Fees are increased and/or additional Providers are performing the Treatment.
This is calculated on current income and is intended as an estimate only.
Run the Report
- Click Item Fee and Providers under the WhatIf menu

- Set the Period, Location and Provider to base the calculation on and click Apply

- Use the slider bars to increase or decrease the Item Fee and/or Provider

- The Adjusted Revenue and Increase/Decrease is displayed in the table

Practice Analytics: View Treatment Plans Items
A table can be created in the New Patients KPI report in Practice Analytics to show the number of Items used in Treatment Plans created.
Run the Report
- Click Treatment Plans Items under the KPI menu

- Remove current headings if not applicable by dragging and dropping to the heading list.
- To build this KPI table, click and drag the below headings:
Tx Plan ID (Count): The number of times the Item is used in Treatment Plans
Item Code: The Item number used in the Treatment Plan
Treatment Plan Date: Date of the Treatment Plan

Treatment Plan Type: The type of Treatment Plan (e.g. Completed, Incomplete, New)
Treatment Plan Date: The date of the Treatment Plan

- Click Invoiced Production under the KPI menu
- Remove current headings if not applicable by dragging and dropping to the heading list.
- To build this KPI table, click and drag the below headings:
Net Production: The value of invoices raised
Cash Payments: Receipts created with the Cash payment method
Other Payments: Receipts created with other payment methods
Provider: The Provider that created the invoice

No Px: The number of new cancelled appointments
Appointment Book: The name of the Appointment Book
Cancel Reason: The cancellation reason
