Item Triggers in D4Web

There are 2 types of Trigger items in D4Web:
  1. An item to item trigger that allows you to always have an item code automatically enter into treatment when another is entered. For example, each time you enter the item code 114 you want 121 to be entered automatically
  2. And an Automatic trigger item when a process is completed (e.g. Queries or recall is sent, UTA/ FTA Status marked)

Item to Item Triggers

To automatically trigger an item when another item is entered: 
  1. Click the navigation menu > Location Setup > Items page
  2. Highlight the item you want to be automatically entered (e.g:121)
  3. Open the Triggers Tab
    1. Tick Use Triggers box
    2. Specific Provider : This means that when a trigger is used, the highlighted item code (above case would be the 121) will automatically be assigned to the selected provider in this drop list.
    3.  Frequency : ‘Once a day’. This means that for each patient, the trigger will only work one time per day.
    4. Remove tick from All Items box
      1. Tick All Items box only if you wish to have this item triggered every time you enter any item into treatment (frequency rule applies) 
    5. Trigger Items: Here is where you will enter the item/s that will trigger the item code to be automatically entered to treatment (e.g: 111, 114, 115)

Automatic Trigger Items

Trigger Item in Treatment When Query Sent

When a Query batch is created (manually or via automation), an item is triggered and auto inserted into the patients Treatment File with details of the Query batch in the notes.

Turn on feature

If this feature is not automatically turned on in General Settings, please contact Support to assist

Setup Trigger Item

  1. Click the navigation menu > Location Setup > > Items page
  2. Add a new Item (e.g. QRY)
  3. While the item is highlighted, open the Other Details tab
    1. Non-Treatment box must be ticked
    2. Click Queries box

Run the Queries Batch (for Manual Queries users only)

  1. Click the navigation menu > Debtors & Marketing > Queries page
  2. Run and Create the Queries batch
  3. Send correspondence sent (via letters, SMS, Email)

View the Item in the Treatment page

The Trigger item will appear in the Treatment page for the relevant patient once an automated batch has been sent and / or when sent via manual Query.
An automatic note is also attached that includes the Queries batch details:
<Query Created Date & Time / Created by / Sent via letters, SMS or Email  / Sent Date & Time / Query batch name>


Trigger Item in Treatment When Recall Sent

When a Recall is sent successfully, D4Web can automatically add an item to the Treatment page.  

Turn on feature

Feature turned on in General Settings > Group: Treatment 

Setup Trigger Item

  1. Click the navigation menuLocation Setup > Item page
  2. Add an item (eg. Recall)
  3. Highlight the Recall item > open Other Details tab 
    1. Non-Treatment box must be ticked
    2. Tick Recall

Run the Recalls Batch (for Manual Recalls users only)

  1. Click the navigation menu > Debtors & Marketing > Recalls page
  2. Run and Create the Recalls batch
  3. Send correspondence sent (via letters, SMS, Email)

Trigger Item in Treatment for Appointment FTA or UTA 

When an appointment is copied or moved to the Cancellation List, D4Web can automatically add an item to the Treatment page.

Turn on feature

If this feature is automatically turned on in General Settings,

Setup Trigger Item

  1. Click the navigation menu > Location Setup > Items page
  2. Add a new Item (e.g FTA)
    1. Repeat for item UTA
  3. Highlight FTA item: 
    1. Open Other Details tab
    2. Non-Treatment box must be ticked
    3. Tick FTA-Fail to Attend tick box

  4. Highlight UTA item: 
    1. Open Other Details tab
    2. Non-Treatment box must be ticked
    3. Tick UTA-Unable to Attend tick box
