Other Appointment Book Features in Dental4Windows
Insert breaks into the Appointment book and Appointment book template, use schedule of providers for shared appointment books, manually send appointment reminders and notifications, manually include unsubscribe option for manual appointment reminders and close an appointment book.
Insert regular breaks into Appointment Book Template
To insert a break that is repeated every week on the same day at the same time, add a break to the template.
- Go to the Appointment Book > Options menu
- Select Setup all books...
- Highlight the book to insert the break to
- Click Templates...
- Click New Period Start Date> Enter start date> OK

- Right click on the required appointment time slot
- Insert new... > Select Break

- Select Start at, End at and Duration
- Select background color, Text color, Work time

- Click OK
- Copy and paste the break to each single day

- Click Whole template > Click Apply to the Book's Day...
- Click Exit
Insert Individual Breaks into Appointment Book
Breaks are used to block a time in the Appointment Book.
- Go to the Appointment Book > Right click on the required appointment time slot
- Insert New > Select Break...
- Select Start at, End at and Duration
- Select Background color, Text color, Work time, Important Information (stops Break being deleted when updating the template)

- Click OK
Use Schedule of Providers for Shared Appointment Books
Schedule of Providers is used when multiple Providers share a Standard Appointment Book to correctly report on the clinical hours worked by each Provider. A schedule is set up in D4W/PSS to repeat weekly.
For example, Dr McCavity works between 8am-12pm Monday to Friday, and his colleague Dr Jones works between 12pm-6pm Monday to Friday. Their Practice prefers to manage one appointment book and schedule Dr McCavities appointments in the morning and Dr Jones’ appointments in the afternoon.
- Go to Appointment Book > Options menu
- Schedule of Providers
- Location: Select the relevant Location if applicable
- Provider: Select the relevant Provider (set up one at a time)
- Period: Click the Add New icon

- Enter the Start Date of when this schedule comes into effect
- Click OK
- Even/Odd Day Sensitive: Select relevant setting (off for every day)
- Click the day of the week
- Free Periods of Time: This shows the hours available to schedule the Provider
- Click Copy to use the whole free period of time for the Provider
- Holiday: Tick if this Provider does not work on this day
- Click Add
- Select Book
- Enter From and To work times
- Click OK

- Repeat for all working days
- Repeat for the next Provider
How to send Manual Appointment Reminders and/or Notifications
There are two methods to send appointment reminders via SMS and E-mail.
- Batch Message: Use this method to send to multiple patients for a date range.
- Single Message: Use this method to send to only one patient.
Batch Message
- Go to the Appointment Book > Options menu > Send Appointment Messages
- Date Range: Select the date of appointments to send reminder
- Method: Select from SMS and E-mail; they must be completed separately
- Message Type: Select from
- Appointment Reminder: Used to seek confirmation of the appointment
- Appointment Notification: Generally used for non-confirmation messages
- Location: Select the location or Any Location (if applicable)
- Appointment Books: Select the books to send the message to
- Click OK

- Individual messages can be edited before sending by clicking in the Edit column
- Click Select Ready
- Click Send

Single Message
Go to the Appointment Book > Right click on Appointment
- Send... > SMS or E-mail
- Message Type: Select from
- None: Select to create a new message, not using a template
- Appointment Reminder: Used to seek confirmation of the appointment
- Appointment Notification: Generally used for non-confirmation messages
- Mark Using # Status: Select if the appointment should be marked with an appointment status after sending
- Click Send

Manually Include Unsubscribe Option in Manual Appointment Reminders
Individual Appointment Reminder
- Go to Appointment Book
- Right click on Appointment > Send > E-mail / SMS
- Tick/Untick Include Unsubscribe Link

Group Appointment Reminder
The unsubscribe link can only be manually included / excluded from group Appointment reminders when sending via e-mail.
- Go to Appointment Book
- Options menu > Send Appointment Messages
- Method: Select E-mail
- Tick/Untick Include Unsubscribe Link

Close an Appointment Book
An appointment book can be closed if it is no longer going to be used, for example the dentist has left the practice but there are still appointments booked that need to be moved. Once the closing date is set, appointments booked after that date will be assigned with a chosen Appointment Status and a report of these appointments will be generated.
This process is not reversable or editable once completed.
Before closing an Appointment Book
Close Appointment Book
- In Appointments > Options menu > Setup all books...
- Select the appointment book to Close
- Select Close Book

- Enter User name and Password (if enabled)

- Close book
- Closing date: Enter date appointment book is to be closed from (a new period will be added to that appointment book template)
- Back color: Select a colour from the drop list for the appointment background
- Text color: Select a colour from the drop list for the text
- Text: Type in the text required for preset slot e.g. Closed
- Click OK

- Confirm changes
- A confirmation box will come up as to when the changes will be made from and what preset status will be applied to booked appointments in the closed book
- Click OK

- A Status report (non financial) (see link below for more information) will be generated of patients that still have appointments booked in the closed book

- Report Details
- Patient: Name of patient with a booked appointment
- DOB: Date of Birth
- Phone number: Phone number saved to patients file
- Date: Date appointment is booked
- Time: Time of booked appointment
- Duration: Length of time appointment is booked for
- Click Export or Print
- Once all appointments have been moved (see link below for more information), the closed appointment book can be marked as inactive (see link below for more information)
