Setup & Manage Operations & Conditions in D4Web

Chartable items can have an operation (icons for charting) and chartable conditions may also require an operation. Most are preset in D4Web, however the user may create custom Operations (fillings, crowns etc.) & Condition (decay, drifted etc.) icons.
Non chartable items can be added as an Operation to the Charting, Perio, Treatment Plan and Treatment pages, with or without icons. They are then selected as a group rather than individual items, making it a faster way to enter treatment.
For example: An exam, scale and clean, fluoride & x-rays as an operational group (011, 114, 121, 022, 037)
All icons can sit in the Icon bar or the Operations toolbar in the Charting, Perio, Treatment Plan, Treatment pages
Where to find Operations page
- Click the navigation menu > Location Setup > Operations page

Custom Operation & Condition ICONS
Create an Operation Icon
- Click the navigation menu > Location Setup > Operations page
- Find and select the operation (For the purpose of this instruction, I have selected an Ortho Operation)
- Click SELECT

- Select from the 100's of icons available
- Click OK

- The icon image and name can now be seen within the Operation setup

Find / use the Operation Icons
- Click the navigation menu > Patients > Charting / Perio / Treatment Plan or Treatment page
- Click the Toolbar icon and all Custom operations will be listed here

Create an Conditions Icon
- Click the navigation menu > Location Setup > Operations page
- Find and select the condition (For the purpose of this instruction, I have selected the Watch condition)
- Click SELECT

- Select from the 100's of icons available
- Click OK
- The icon image and name can now be seen within the condition setup

Find / use the Conditions Icons
- Click the navigation menu > Patients > Charting / Perio page
- Click the Toolbar icon and all Custom Conditions will be listed here

Setup Charting Operations for chartable items
All chartable items must have an operation set to allow its use in the Charting pages.

Note: ADA chartable items are preset and do not require manual setup. These instructions can be used for any custom item setup (e.g. Temporary fillings)
Click the navigation menu > Location Setup > Operations page
To add to an existing Category (e.g. Restorative), select it
Click GROUP
Group: Enter the group name, e.g. Temporary Fillings
Click OK

Show in these tabs: Tick boxes to show in Charting, Treatment Plan, Perio, Treatment
Selection Style: Popup Menu
Click OPERATION
Description: Enter the name of the Operation, e.g. Temp 1
Code: Enter a code, e.g. T1
Type:
Single Item from List: Select if only one item is to be used at a time
Composition of Items: Select if a group of items it to be used at once

Highlight the Operation
ToolBar Icon: Click SELECT if an icon is needed (refer to above instructions for adding icons if required)
If an Icon is not needed, it will be added as a menu option in Charting (good option if not used frequently)
List of Items
Click ADD NEW
Select the relevant item(s) that could be used
Click OK
- Application
- To each selected tooth separately: Select if the item should be applied once for each tooth/surface it is entered on, e.g. Fillings
- To selected teeth as a whole: Select if the item should be applied once for all teeth/surfaces selected, e.g. Dentures

Setup Charting Operation groups for non chartable items
- Click Add Category

- Category: Enter the name of the category, e.g. Other
- Click OK
- Charting / Treat Plan / Perio / Treat: Tick tabs to show this category
- Click Add Group

- Group: Enter the name of the group, e.g. Examinations
- Click Add Operation

- Operation: Enter the name of the operation, e.g. Initial examination Adult
- Code: Type in a code for this operation e.g. iea
- ToolBar Icon: Select to show an icon in selected tabs for this group
- Type: Select the method of item entry in selected tabs
- Composition: All included items will auto-input to patients file when prompted
- Single Item: User selects one item from a list to enter in the patients file
- Click ADD NEW
- Select items to include in the group
- Click OK
- Times: Increase the number if selected item should be entered multiple times. To add the same item multiple times (recommended) rather than increase the Times/Quantity, click ADD NEW and select the same item again

- Repeat Step 3 for every Operation required for the same group
- Examination group may have multiple operation combinations of items included for different exam types

Setup Charting Conditions
Add Custom Charting Conditions
Conditions are images applied to selected surfaces of a tooth which are unrelated to a procedure.
For example, abrasion, wear facet, rotated, drifted
Add New Condition Group
D4Web already has two groups for Conditions: Condition and Movement.

To add another, e.g. Custom Conditions, follow the below steps. Otherwise, highlight the existing group and move to the Add New Condition to a Group steps below.
- Click the navigation menu > Location Setup > Operations page
- View: Conditions
- Click Group
- Description: Add new group Name
- Click OK

- Show these tabs: Tick the screens to display this group in

Add New Condition to an existing Group
Conditions can be added to existing groups; Condition and Movement or to a new group setup by the user (as above).
- Select the group to add the new condition to (e.g. Custom Conditions)
- Click Condition
- Name: Enter the name of the new condition (e.g. Attrition 1)
- Click OK

- If the condition should appear as a toolbar icon and in the menu
- Click SELECT and choose a picture
- Next, select the 2D Charting, Picture: Select the image/icon to show on the surface of the tooth when selected in charting. (e.g. A1 ATTRITION1.BMP)
- Repeat steps for each new Custom Condition. (e.g. Attrition2, Attrition3)

- 3D Charting, Charting Type:
- Whole Tooth: No image will show, but the Hint will show
- Symbol on Cell: A symbol, alphabetical or numerical, will appear on the surface
- Symbol with Background Cell: A symbol, alphabetical or numerical, will appear on the surface with a background to the symbol
- Picture on Cell: Select a Picture to show on the surface
- Hint: Enter the Hint which will be shown onscreen in 3D Charting when the condition is not visible due to rotation. Tick if the Hint should be shown in 3D Charting all the time, or only when surface is not visible

In the Charting page
- Select the new custom conditions from the Conditions menu
- If you added Toolbar icons, they can be found in the toolbar list where all conditions with icons are found

Keep the list short to the most common conditions used
Conditions cannot be deleted once used on a patient. So mark a condition as obsolete if no longer needed.Mark a Charting Condition Obsolete
To remove an unwanted Condition from the lists in Charting.
- Click the navigation menu > Location Setup > Operations page
- View: Conditions
- Select the Group the Condition is saved within, e.g. Custom Conditions
- Highlight the Condition
- Tick Is Obsolete box
- Enter the date the Condition will be made obsolete as of box
- Click OK
- Follow the same steps to reverse the action of making a Condition obsolete
