Settings:
Auto-Update appointment status
When a patient replies to an Appointment Reminder SMS, the appointment can be updated as Confirmed or Cancelled based on the patient's reply.
Yes = The appointment is updated (default setting)
Display Reply received notification
When a patient replies to an Appointment Reminder SMS, an icon is displayed in the appointment.
This feature is only available to those set up with SMS capabilities.
Yes = The icon appears when a patient replies to the SMS (default setting)Ignore 160 character message limit
When creating/modifying a Manual Appointment Reminder SMS template, if the number of characters exceeds 160 characters the template will not be able to be saved.
A general setting has been created to allow this.
No = If the number of characters exceeds 160 characters a warning will appear and the template will not be able to be saved (default setting).
Yes = The template will be able to be saved and the number of messages will be displayed
If an SMS is sent and exceeds the 160 character limit, it will be billed as two (or more) messages.
Move Replies to Archive after Auto-Updating appointment status
This setting allows users to choose whether D4Web moves replies to Archive within SMS Manager after an auto-update of the appointment status has occurred. This setting will work when Auto-Update appointment status setting is set to Yes.
For Yes and No replies = The reply is moved to Archive if the appointment is updated as Y or Z (default setting, recommended)
For Yes replies only = The reply is moved to Archive if the appointment is updated as Y
For No replies only = The reply is moved to Archive if the appointment is updated as Z
Don't move to Archive = No replies are moved to Archive
No Response from Appointment SMS Reminders
When a patient replies N or No to an Appointment Reminder SMS, the appointment is updated with the Z status.
If patients reply with any other text, eg No sorry, the appointment will not be updated.Common replies can be added to be recognised as No when an SMS reply is received in D4Web.
Enter the text required (i.e. No Sorry)
Ensure each response is followed by a comma (,)
Repeat as necessary
Retrieval Frequency (in minutes)
Select the frequency of SMS retrieval
Enter the minutes
Retrieval Method
Automatically = SMS replies are automatically retrieved (default setting, recommended)
Send SMS on Appointment Scheduling
Yes = This is setup to replace writing appointment details on business cards and having patients write down incorrect details when on the phone booking.
Appointment Scheduled SMS Template (link coming soon)
Yes = Automatic SMS to patient when they are registered in the Appointment book for the first time

Setup Patient Registration SMS Template (link coming soon)
Yes = The patient will receive an SMS when they are marked as Arrived in the Appointment Book.
This is commonly used to communicate with the patient when using self-check-in services such as D4Web eKiosk.
This feature is only available to those set up with SMS capabilities.
Patient Arrival SMS template (link coming soon)
Yes = The patient will receive an SMS when they are marked as Checked Out in the Appointment Book.
This feature is only available to those set up with SMS capabilities.
Patient Check Out SMS template (link coming soon) Send SMS Recalls
This setting allows users to choose whether to send Recalls and Queries by SMS.
Yes = Recalls and Queries can be sent by SMS (default setting, recommended)
Yes Response for Appointment Reminders
When a patient replies Y or Yes to an Appointment Reminder SMS, the appointment ca be updated with the [Y] status
If patients reply with any other text, eg Yes Thank You, the appointment will not be updated
Common replies can be added to be recognised as Yes when an SMS reply is received in D4Web
use commas (,) to separate each response
