Sterilisation & Treatment in D4W
Listed below is how to allocate a steri pack to a patients, how to search for an autoclave cycle and to enter, edit or delete an autoclave cycle.
Add Sterilisation Tracking When Prompted
Sterilisation tracking must be added when prompted when completing Checked in action. The Arrived, Checked in and Checked out feature must be used for prompt to appear.
Yes, at Check In
When Checking In a patient, a prompt will appear to enter sterilisation barcodes. Checked In can not be completed without sterilisation barcodes being entered. No further prompts will appear.
- In Appointment book, right click on patients appointment > Checked In
- Checked In can not be completed unless sterilisation barcodes are entered

- Select Yes to complete patient check in and enter sterilisation barcodes or note
- Select No to not enter barcodes, check in will also not be completed
- Select Scan > scan barcodes or Add to manually enter sterilisation barcodes

- Once complete select OK
Yes, at Check in and Warn if Missing At Invoice Creation
If Check in was not completed and sterilisation barcodes have not been entered, a warning will come up when creating an invoice.
- In Treatment select New Invoice or F2
- The following will appear if Checked In wasnt completed
- Select Yes to continue with Invoice creation without entering sterilisation barcodes
- Select No to not create the Invoice

- In Appointment book, right click on patients appointment > Checked In
- Prompt will appear that check in can't be completed unless sterilisation barcodes are entered
- Select Yes to complete patient check in

- Select Scan > scan barcodes or Add to manually enter sterilisation barcodes

- Invoice can now be created in Treatment
Yes, at Check in and Required if Missing At Invoice Creation
If Checked In was not completed and sterilisation barcodes have not been entered, Checked In must be completed and sterilisation barcodes entered first otherwise the invoice can not be created.
- In Treatment select New Invoice or F2

Allocate a Sterilisation Pack to a Patient
When using a pack on a patient, the pack is added to the Treatment tab allowing sterilisation tracking.
- Go to Patient Records > Treatment tab
- Enter the STERI item number
- Open the clinical notes by clicking in the Nt field against the item
- Click Scan
- Scan the pack(s) used on this patient
- Click OK
Enter an Autoclave Cycle
Each cycle - successful and/or failed - must be entered into the Sterilisation module for accurate record keeping.
- Go to Location Management > Sterilisation tab
- Select the autoclave to add the cycle against from the Autoclave list
- Autoclave Cycles
- Click Add

- Date/Time: Ensure the correct date and time is entered
- Cycle ID: Enter the ID produced by the autoclave
- Staff: Select the staff member entering the cycle
- Tested: Select if the cycle had been tested, e.g. a test vial
- Passed: Select if the cycle passed the test
- Notes: Add any special notes about the cycle
- Scan Barcodes
- Click Scan
- Scan the relevant barcodes on the packs
- Contents: Select the pack contents
- Click OK

Find an Autoclave Cycle
When many cycles exist, it is difficult to find a particular one. Use the Find function to do this. Not all details found within the Find window must be entered, however the more detail, the easier it will be to find.
- Go to Location Management > Sterilisation tab
- Click Find

- Date From, Date To: Enter the period to search
- Cycle ID: Enter the ID if known
- Notes: Search based on notes written against the cycle
- Provider: Search based on the user who entered the cycle
- Click Find
- Select the relevant cycle
- Click Switch To to close Find and view the cycle

Delete an Autoclave Cycle
If a cycle has been incorrectly entered, it may be deleted if no packs have been allocated to patients.
- Go to Location Management > Sterilisation tab
- Select the autoclave to edit the cycle against from the Autoclave list
- Autoclave Cycles
- Select the cycle from the list
- Click Delete

Edit an Autoclave Cycle
Once a cycle has been entered, if changes are needed, it can be edited.
- Go to Location Management > Sterilisation tab
- Select the autoclave to edit the cycle against from the Autoclave list
- Autoclave Cycles
- Select the cycle from the list
- Click Edit

- Make changes
- Click OK
