Managing Other Patients Detail Features in Dental4Web

This article covers general instructions found in the Patient Details page, such as:
find options, editing, photos, guardians, categories, merging patient files/imaging

Where to Find the Patients Details page

The Patient page can be found from the navigation menu > Patients 

Search For a Patient

Search from any page in the Patients section
  1. Go to Find / View toolbar > Find or click the Find toolbar icon mceclip0.png
    1. Enter details of the patient
    2. Click FIND
    3. Select the patient in the list
    4. Click OK

Modify Search Results Fields

Want to customise your Find a Patient fields? 
  1. Find / View toolbar > Modify Search Results Fields
    1. Place a tick against the fields to show
    2. To change the order they will show, select field(s) and click Move Up or Move Down
    3. Click OK

Show Next Appointment

The system can search and show you any appointments that have been made for the current patient
  1. Patients toolbar > Show Next Appointments Or click on icon mceclip0.png
  2. Search beginning from: 
    1. Period can be modified by dropping the list
    2. Dates can be modified by overwriting with DD/MM/YYYY
  3. Click SEARCH
  4. in inactive books: Tick to include inactive books
  5. Click PRINT to print out an appointment list for patient
  6. Click PRINT APPOINTMENT CARD to print out an appointment card for patient
  7. Click GO TO to go directly to the highlighted appointment
  8. Click CLOSE  to close this window

Capitalise Patient Names

When entering a patient's name, the first letter of the name is capitalised by default.
This is not desirable where the patient's name may include/exclude multiple capital letters (eg McDonnell / Mcdonell etc).
This can be resolved with the Disable Capitalised words feature.
  1. Patient toolbar > Select Disable Capitalised Words
  2. Enter the patient’s details as you would like it to be viewed
  3. The patient's name will now include capital letters as desired

Patient Category

Add Category to a Patient File

  1. Find the Patient
  2. Select the relevant category from the Patient Category drop list

Edit Category in a Patient File

When a patients' category changes, simply add a new one for the current period.
If you do not wish to see an existing category, select the 'none' option
  1. Click the notepad icon for Patient Category

  2. Click the Pencil icon to Edit Period From / To
  3. Select the Category Name
  4. Click OK

A photo can be added to the Patients page of each patients' file
Find the patient to import the image to 
  1. Patient toolbar > Import Picture
  2. Browse to the location where you saved the picture file and select the desired file

Delete a Photo from Patient File

To remove the photo attached to a patients' file: 
  1. Find the patient to delete the photo from
  2. Patient toolbar > Delete Picture

Custom Patient Fields

Custom Fields allows for additional fields to be added to the Patients page for manual entry.
If using eForms, the fields can be added to forms for patients to fill in and automatically update in their file.

Add Custom field to the Patient file
  1. Click Show Custom Fields 
  2. All Custom fields are now available in this area

Add a new Guardian

A parent / Guardian / Carer responsible for a child account (usually a person who is NOT a patient)
  1. View toolbar > Guardians List
  2. In the 'Guardians List' Window:
    1. Click ADD NEW
    2. Fill in the details
    3. Click OK
  3. Select Guardian from the ‘Send Invoice to’ drop list
  1. Find / View toolbar > Modify Search Results Fields
    1. Place a tick against the fields to show
    2. To change the order they will show, select field(s) and click Move Up or Move Down
    3. Click

Find the patient to import the image to 
  1. Patient toolbar > Import Picture

Delete a Photo from Patient File

To remove the photo attached to a patients' file: 
  1. Find the patient to delete the photo from
  2. Patient toolbar > Delete Picture

Merge Duplicate Patient Records

Follow the below instructions to merge two of the same patients and their MediaWeb PACS images (if applicable) into one file and delete the duplicate file. 
If third party x-ray software is being used, any x-rays must be exported from the patient to be deleted and imported into the patient to be kept.
Warning
This Action can NOT be reversed
  1. Click the navigation menu > Patients > Patients Details page
  2. Write down the card numbers of the duplicate (e.g. 36) and original patient card (e.g. 9)
  3. Click the Find toolbar icon   > Search for the patient that will be deleted (e.g. 36) 
  4. With the patient to be deleted in view (36), Patient menu > Duplicate patient records merge...
    1. Find the Patient to keep (e.g. 9) > Click OK
    2. To agree, click YES to proceed

    3. To copy the current patient in view's details - address, phone, e-mail etc Click YES
      (by clicking NO, the other patients' details will remain)

    4. If no Imaging links exist. Delete the unwanted Patient file (eg 36)

  5. If MediaWeb PACS is being used, the following message will appear.
    1. Click OK

    2. The following message advises the merge is complete, click OK

    3. Click OK to return to the patient's profile
    4. The patient in view can now be deleted. Click the Delete icon
