General Settings Group for "Appointment Book" in D4Web

General Settings

Automatically add/ remove item in Px treatment (Status FTA)

Yes: An item will be automatically inserted into the patients treatment file
No: No item triggered

Automatically add/ remove item in Px treatment (Status UTA)

Yes: An item will be automatically inserted into the patients treatment file
No: No item triggered

Autorefresh is available

This is useful for practices with multiple computers. If an appointment is made on one computer, it will appear on other computers once refreshed.
Yes = The system will automatically refresh (default setting)

Autorefreshing rate in seconds

The Appointment Book can be refreshed at regular intervals.
If the "Autofresh is available" setting is set to Yes, set the interval here

Appointment Cancellation Reason

On, Mandatory: The user must select a reason for cancelling the appointment and enter any notes
On, Optional: The user can click Cancel (default setting)
Off: The user is not prompted to select a reason when cancelling an appointment

Books sort order in lists

When viewing the Appointment Books in multiple book view, the order of the books can be determined.
If Appointment Book Groups are configured, this setting is not applicable.
Name = The appointment books will be sorted by the name of the book (default setting)      
ID = The appointment books will be sorted by the order the books were created 

Cancellation List default column sort order of rows

Patient name =  alphabetical order.
Reg date = by date the patient was registered/added into the Cancellation list

Create Family Appointments

Yes: The option to create a family appointment appears when inserting an appointment (default setting).

Days to move recall when cancelling or deleting appointment 

Set the number of days that the patient's recall date will be moved forward when cancelling an appointment

Default Patient SEARCH from

When searching for a patient's appointments, the start search date can be set as today or tomorrow.
TODAY: The search will include today's appointments
TOMORROW: The search will begin from tomorrow (default setting)

Header / Trailer section of appointment reminder in SMS message

Insert a message to the Header section or Trailer section of your SMS messages

If WAIT TIME is negative, then set to ZERO?

If using the Arrived/check in/checkout feature to calculate provider’s time, the system has to calculate the arrived time compared to the appointment time
Yes: If the patient arrives before the appointment time, the system will start timing from the start of appointment time.

Initialise Provider while creating new appointment in his/her personal appointment book

If each provider has their own appointment book setup and this book is linked to their profile in the providers page, then the correct "For Provider" will be automatically set in the appointment.
If more than one provider is set with the same appointment book, this setting is not applicable.
Yes = The appointment's For Provider field is automatically filled (default setting)

Is Appointed By attribute mandatory

When creating an appointment, the staff member who made the appointment is selected from the Appointed By drop list. This can be made a mandatory field.
No: The appointment can be created without selecting Appointed By (default setting)
Yes: When creating an appointment, the user must select a Provider or Staff Member from the drop list

Is For Provider attribute mandatory

When creating an appointment, the user must select the provider from the For Provider drop list. This can be made a mandatory field.
No: The appointment can be created without selecting For Provider (default setting)
Yes: When creating an appointment, the user must select a Provider from the drop list
Choose to have the Recall Update window appear when checking out, enabling the provider to decide on the recall or when invoice is created by the front desk staff after invoice creation
Yes = The recall window appears at appointment checkout
No = The recall window appears when invoice created.

List providers in the appointment daysheets

Yes = When printing a compact daysheet, the "For Provider" information of the appointment can be included.

Location chosen by default

For use by multi location users only
Any location = choose location in each screen as needed
Current Location = The location you are logged into 
Foveaux Street Dental (The name of your clinic) = Select which location will be the default

Location is sorted By

When using a Multi Location database, the order of Locations can be changed.
Location ID: Locations are listed by ID (Default setting)
Location Name: Locations are listed by Name 

Maximum number of days to be shown

When viewing the Appointment Book in single book view, the maximum number of days to view onscreen can be selected. 
Select from: 7 days (default setting), 8 days, 9 days

Paper size of reports (Standard and Compact daysheets)

Select the size of paper for the Appointment book daysheet printouts.
A4 = 29.7 x 21 cm
A5 = 21 x 14.8 cm
Select the style to use for printing the patients appointment series from the 2 style choices. 
Style A Only= standard appointment series list
Style B Only = Appointment series list with patient name and address details, so printout can be mailed
Both Style A & B = choose from either of the above

Quantity of Books on One Screen (MULTIPLE BOOK VIEW)

When viewing the Appointment Book in multiple book view, the number of books to view onscreen can be selected. 
Enter the maximum number of books (default = 9 / max = 20)
Note: The higher number of books, the narrower the appt book columns will be on screen. 

Set the Standby List default column sort order of rows

Select the order you wish to view the standby list by
Patient name =  alphabetical order.
Reg date = by date the patient was registered/added into the standby list

Show Family Head as the contact in Compact Daysheet

Where a patient has an appointment and is set as a member of family, the family head will be the contact listed on the Compact daysheet
Yes = Shows the family head name as contact
No = Shows the appointed patient name as contact

Show Invoice Due data on Appt Book Compact Daysheet

When printing the compact daysheet, any patient with an outstanding invoice data.
Yes = If the patient invoice balance is GREATER THAN ZERO, THEN information will show in Compact Daysheet

    Show next appointment window when patient appointment is deleted/cut if future appointments exist

    Yes = If appointments exist, the patient's next appointments window will appear (default setting)

    Show Details of next appointment on Invoices/Receipts/Plans printouts

    Select Yes or No

    Show only authenticated provider in the drop-down lists of the Appointment Book module

    Yes = The option to mark a book to be visible for all providers

    Show warning message in the case of outstanding balance of patients

    If a patient has an outstanding invoice/s, a warning message can appear when creating or modifying an appointment. 
    Yes = A message window pops up if the patient has an outstanding balance

    Time Display Format

    Select to show appointment schedule format
    AM/PM = The appointment slots are shown in 12 hour time (default setting)
    24Hours = The appointment slots are shown in 24 hour time

    Time Measure Late Icon

    If using the arrived/checked in/checked out feature, the late icon can also be used.
    No: No image appears if the patient is late (not recommended)
    Immediate: The running man image appears in the patient's appointment if they have not been marked as arrived by the appointment time (default setting)
    5/10/15min: The running man image appears in the patient's appointment if they have not been marked as arrived by the specified time period after the appointment

    Time MEASURE REMINDERS turned on

    Trigger a reminder when patient has not arrived. The reminder will appear when a patient has not been marked as arrived or checked in.
    Select = No, 5min, 10min, 15min

    Use Templates for Manual Appointment SMS/ Email  Notifications and Reminders

    Yes = The setting must be activated to design SMS and E-mail template reminders for appointments.

    Update Recall date when cancelling or deleting appointment

    Manual via Dialogue: Users will be prompted to update the patient's recall date when an appointment is cancelled
    Do not update: Patient's recall date remains the same when cancelling an appointment

    When an appointment slot becomes available, check standby list for Patients with the same preferred time

    When an appointment is deleted or cancelled, the user can be alerted if a patient with the same preferred date and time appears in the Standby List.
    Yes: The user will be alerted when an appointment is deleted or cancelled (default setting)

    Using the Standby List in D4Web

    Within how many hours is an appointment considered a WALK IN?

    An appointment is considered as a walk-in if it is made within a defined number of hours prior to the appointment time.
    For example, if a patient phones at 1pm and the appointment is made for 2pm the same day, they would be considered as a walk-in.
    Enter the number of hours (default = 2)
    To see the number of walk-in appointments, run the Appointment Time Report
